Four briefs, four different answers

Corporate · Wellington

Year-end function for a national services company

Brief
Break up the usual departmental huddles at a 240-guest function
Format
Four themed tables, eight hosts, branded chips, leaderboard close
Guests
240 adults, three-hour entertainment window
Outcome
Floor occupancy above 80% for the full window

The client had run the same function format for six years and reported that guests left early and stayed in their own teams. We replaced the post-dinner lull with a three-hour entertainment window: two roulette-style tables as anchors at either end of the room, two blackjack-style arcs between them, and a welcome chip allocation handed out at the door with the drinks token.

The leaderboard was scored in points only and closed with engraved keepsakes. No money was involved at any stage, and the hosts opened each table by saying so.

Private · Taranaki

Fiftieth birthday at a private lodge

Brief
One table, three generations of adults, no production feel
Format
Single blackjack-style table, one senior host, personalised card backs
Guests
46 adults across a five-hour evening
Outcome
Evening pack-down after guests left; no disruption

A compact brief with an awkward room: a lodge lounge with a single doorway and a timber floor the owner did not want marked. We surveyed first, brought our compact table and floor protection, and set up in just under an hour while guests were still arriving for drinks.

The host ran continuously but gently, teaching new arrivals in small groups. Card backs were printed with the host's initials and the date, and guests took them home as keepsakes.

Team building · New Plymouth

Post-merger offsite for a manufacturing group

Brief
Mix two workforces that had never met, inside two hours
Format
Five station tables, drawn teams, timed rotations, points scoring
Guests
130 participants, two-hour programme
Outcome
Finished three minutes ahead of the published run sheet

Teams were drawn at the door so nobody chose their own group, and the rotation plan guaranteed that every participant shared at least three stations with people from the other site. Scoring was posted on a visible leaderboard between rotations.

The close was a short recognition moment with trophies and a group photograph. Nothing of monetary value was awarded, and the client's HR team reviewed the format in advance for exactly that reason.

Dining · Auckland

Conference closing dinner for an industry association

Brief
Entertainment that fits between courses, not instead of them
Format
Poker-themed dinner interludes, master of ceremonies, rules cards
Guests
180 seated guests, four interludes
Outcome
Kitchen service ran to schedule throughout

The venue's chief concern was service timing, so the interludes were mapped against the kitchen's plating schedule and the host worked from the same run sheet as the floor manager. Rounds were cut short twice when service came up early; the room never noticed.

Symbolic chip stacks were laid with the covers, and the standings were read out before dessert with certificates for the top three tables.

Feedback

What organisers said afterwards

The entertainment window was the only part of the night nobody wanted to leave. The hosts were patient with people who had never played anything like it.

They answered our compliance questions before we had to ask them twice, in writing. That made the internal sign-off straightforward.

Access at our venue is genuinely difficult and the crew had the whole floor built before the client arrived.

Three generations of adults in one room and the table was where everyone ended up.

Private hostFiftieth birthday, Taranaki

It finished on time, which in my experience almost never happens with a programme of that size.

Every photo from the launch had our branding in it. Signage has never done that for us.
